Preparation
When you are ready to share your documents with your colleagues, you should upload them to GroupBC (BCDE). You can add any kind of electronic file to BCDE, e.g. MS Word Document, CAD drawings, MS Excel spreadsheets, image, sound and video file formats and Adobe PDF documents. Simply create the document in the application of your choice and then upload to BCDE.
There are a number of ways of adding documents to BCDE. These are described in the following sections. This summary should help decide which method is right for you:
- Add Document - most useful when you only have a single document to upload.
- Drag and Drop - upload multiple documents.
Adding a New Document from your Device
Adding documents requires only standard browser functionality and so can be used by anyone. The main limitation of this method of adding documents is that documents can only be added one at a time.
To add a document:
- Go to the location in BCDE where you wish to upload your document.
- Click Add / Document
- Select the file to be uploaded by clicking on Browse, finding the file and then click on Upload document.
- On the Edit Type page, choose the type which best matches your document (if not selected automatically). Click Save and Edit Metadata.
- On the Edit Metadata page, specify values for the metadata fields shown. Click Save.
These values can be used to locate the document or can provide further information to other users about the document. Think of the metadata fields as labels or tags.
Drag and Drop
This method works well if you have a batch of files to upload.
To upload documents using Drag and Drop:
- Go into the location where you want to upload the document.
- Select one or more folders/files from your computer.
- Drag them onto the page.
The process will then follow the same steps as defined in steps 4 and 5 above.
While the drag and drop operation is being carried out, a dialog box will appear informing you of the several operations being performed by the uploader before the folders/files are uploaded onto the server. These operations are outlined below:
- It checks if the folder on the server already contains one or more of the folders/files you are uploading.
- It compresses the uploading files.
- A progress bar appears to show how much has been completed.
- The folders/files are placed on the server.
